Culture Kind is built on trust, so here's exactly what happens to any information you share with me. Clearly, and without the jargon.

Who I am

Culture Kind is a training and consultancy service run by Melissa Jones, based in North East England, UK. For the purposes of UK data protection law, I am the “data controller” for the information you share with me.

What I collect, and when

I only collect what you choose to share when you get in touch:

• Contact form: your name, organisation (optional), email, the topic you select, and your message.
• Emailing or calling me directly: whatever you include in that email or conversation.

When you send the contact form, your message is handled by Formspree, a form-processing service that delivers it to my inbox and stores a copy so I don't lose it. I don't ask for special category data (such as health or financial details). Please don't include anything sensitive you'd rather not put in an email.

As with almost every website, my hosting provider automatically logs basic technical data (like IP address and browser type) to keep the site secure and running. This isn't used to identify or track you.

Why I use it, and my lawful basis

I don't send marketing emails from these enquiries. If that ever changes, I'll ask for your clear consent first.

Who I share it with

I don't sell your data or share it for anyone else's marketing. A few trusted providers help me run things:

• Formspree: receives your contact-form submission, stores a copy, and emails it to me (US-based).
• My email provider: handles the emails you send me, in the ordinary way.
• Netlify: hosts this website (US-based).

I may also disclose information if the law requires it.

Sending data outside the UK

Some of these providers are based in the United States, so your data may be transferred there. Where that happens, the transfer is protected by appropriate safeguards, such as the International Data Transfer Agreement or Standard Contractual Clauses, set out in those providers' terms.

How long I keep it

• Enquiries that don't go anywhere: I keep the correspondence for up to 24 months after our last contact, then delete it.
• Clients: I keep records for as long as we work together and afterwards as needed for legal, tax and accounting purposes (usually up to 6 years).

Your rights

Under UK GDPR and the Data Protection Act 2018, you have the right to:

• ask for a copy of the data I hold about you (access);
• have inaccurate data corrected (rectification);
• ask me to delete your data (erasure), where it applies;
• object to, or ask me to restrict, how I use it;
• ask for your data in a portable format.

Cookies

This website uses no advertising, analytics or tracking cookies, so there's nothing non-essential stored on your device, and no cookie banner to wade through. If that ever changes, I'll ask for your consent first, as required by the Privacy and Electronic Communications Regulations (PECR).

Complaints

Please come to me first if something's not right. You also have the right to complain to the UK's data protection regulator, the Information Commissioner's Office (ICO), at ico.org.uk or on 0303 123 1113.

Changes to this notice

If I change how I handle your data, I'll update this page and the “last updated” date above.
